The client is a large banking and financial services institution processing high volumes of domestic and international payments across retail, commercial, and corporate banking operations. Its payment teams managed transaction validation, payment instructions, reconciliation, exception handling, investigations, and settlement-related activities across multiple systems and channels. As payment volumes increased, manual intervention and fragmented workflows created additional operational pressure. The institution needed a scalable payment operations model to standardise recurring activities, improve transaction accuracy, strengthen exception management, and provide clearer visibility across the payment lifecycle.

The Challenge

The institution processed millions of payment transactions across multiple products, channels, currencies, and customer segments.

Each payment depended on accurate transaction instructions, account information, beneficiary details, payment references, and supporting data before it could progress through the appropriate processing workflow.

Incomplete or inconsistent information created operational exceptions. Incorrect account details, missing references, duplicate transactions, unmatched records, and other discrepancies required manual investigation.

The institution needed a more scalable model that could keep routine payment transactions moving while directing exceptions and higher-risk activities to the appropriate banking specialists.

KGS began by assessing the institution's payment operations, transaction volumes, payment channels, system landscape, reconciliation requirements, exception categories, and existing control processes.

More than 50 priority payment workflows were structured to support over 2 million transactions each month.

KGS supported recurring activities including payment instruction validation, transaction processing support, data verification, reconciliation, payment status updates, exception handling, and operational reporting.

Defined validation checkpoints helped identify incomplete payment information, duplicate transactions, inconsistent account details, missing references, and other processing issues earlier in the workflow. Payment exceptions were categorised based on transaction status and required action, with failed, rejected, returned, unmatched, and other exception-based transactions routed to the appropriate teams for investigation.

Reconciliation workflows helped identify differences between payment records, banking systems, and available settlement information, with outstanding items tracked until resolution. Operational dashboards provided greater visibility into payment volumes, transaction status, exceptions, ageing items, reconciliation differences, and processing performance.
