A Multi-Entity Bank Streamlined 1M+ Monthly Transactions to Improve Processing Accuracy and Operational Efficiency

Banking operations management

About The Client

The client is a large banking and financial services institution serving retail, commercial, and corporate customers across multiple business units. Its operations teams managed high volumes of transactions, account servicing requests, payments, reconciliations, documentation, and operational exceptions across a complex banking environment. As transaction volumes grew, repetitive manual activities and fragmented workflows increased processing effort and made it harder to maintain consistent turnaround times. The organisation needed a scalable banking operations model that could standardise recurring activities, strengthen controls, improve exception management, and support efficient processing across its financial operations.

The Challenge

The bank processed large volumes of financial transactions and customer service requests every day across multiple products, channels, and business units.

Many operational processes depended on repetitive activities such as data validation, transaction verification, document review, account updates, reconciliation, and status tracking. As volumes increased, these activities consumed significant operations capacity.

Transaction exceptions created additional complexity. Missing information, unmatched records, payment discrepancies, incomplete documentation, and inconsistent system data required manual investigation before transactions could progress.

The bank's technology environment also included core banking platforms, payment systems, CRM applications, document repositories, and other operational systems. Teams frequently needed to work across several platforms to complete a single process.

Time-sensitive transactions added further pressure. Operations teams needed to meet processing timelines while maintaining appropriate validation, approval, and financial control requirements.

The organisation needed a more structured operating model that could improve efficiency without weakening the controls and human oversight required within banking and financial services.

What Did KGS Do

KGS began by assessing the bank's operational processes, transaction volumes, technology landscape, service requirements, control points, and recurring exception categories.

More than 50 priority banking workflows were mapped and standardised to support over 1 million transactions and operational activities each month.

KGS supported recurring processes including transaction validation, account servicing, payment operations, document processing, reconciliation support, system updates, data verification, and operational reporting.

Defined validation checkpoints helped identify incomplete information, duplicate transactions, unmatched records, payment discrepancies, and other exceptions before they progressed further. Routine transactions were separated from cases requiring additional investigation or approval, with exceptions categorised and routed to the appropriate banking specialists with relevant information available for review.

Workflow tracking and operational dashboards provided clearer visibility into transaction volumes, processing status, ageing items, exceptions, pending actions, and service-level performance — reducing repetitive administrative effort while maintaining appropriate controls around sensitive and higher-risk banking activities.

What did the client say?

“KGS helped us bring greater consistency to high-volume banking operations that previously required significant manual coordination.
